What is a resignation letter?

A resignation letter is a written notice a person uses to announce their intent to quit a position. The primary aim of writing a work resignation letter is to create an official record of notice, but it is also a demonstration of courtesy. You can use a letter of resignation to provide details about your last day at work, help with the transition and thank your employer for the opportunity to work in their company.

A salutation

Address your resignation letter to the appropriate person. You will likely need to send your resignation letter to your direct manager or HR representative, but sometimes, you will address the letter to your team, department or the organization as a whole. You can use the general salutation for business letters. For example, “Dear Morgan,” or “Dear Ms. Keynes.”

Your intention

The body of your resignation letter should clearly state your intent to quit the organization. Mention your current title and the companys name. You can include your departure date in this statement or continue with more detail in the next paragraph.

For example, “I am writing to notify you of my resignation from the position of marketing manager with Manhattan Effects Direct, effective December 23.”

Reasons for resigning include health concerns, relocation, financial benefits and other considerations. While you should give your employer a clear reason explaining why you are leaving, you dont need to go into personal details in your resignation letter. Keep the tone civil and professional.

A thank you

A resignation letter provides a medium to thank your employer for the opportunity to learn, work with talented colleagues, gain valuable experience and earn an income. Stating your gratitude for your company can set a positive tone for the remaining time you will spend at the organization and will ensure that you continue to enjoy a good relationship after your departure.

For example, “I appreciate the career advancement and personal development you provided for me at Manhattan Effects Direct.”

An offer to assist in the transition

Here you want to offer your help to make the transition seamless for the organization. For example, “Please let me know how I can be of any help finding and training my replacement.”

Your contact information

Sign off with an appropriate complimentary closing. If you are submitting a hard copy of the resignation letter, sign above your typed name. If you didn’t already include your personal details at the top or within the body of your letter, do so after your signature. This should include your current position at the company followed by your professional contact details. You can also include your personal contact information to make it easier for the company to reach you after your departure.
